How to use room measurements without underbidding

Measure openings consistently

Doors and windows can be deducted when they are large enough to matter, but small deductions are often offset by extra cutting time. Use the same method across jobs so your production history stays useful.

Ceilings change the pace

Ceiling work usually moves slower than open walls because of body position, fixture masking, roller loading, and edge work. If the ceiling is textured or stained, adjust the production rate and primer separately.

Small rooms have setup drag

Bathrooms, closets, hallways, and furnished bedrooms may show low square footage but high labor per square foot. Add setup, cleanup, protection, and access time when converting the result into a price.

Common room measuring questions

Should closets and alcoves be counted separately?

Yes. Closets, alcoves, built-ins, and short hallway returns can take more time than their square footage suggests. Count them separately when they require extra cut-in, masking, shelving protection, or limited access.

Why does the calculator deduct openings?

Large doors and windows reduce paintable area. However, they also create edges that take time to cut. For quick estimates, deduct major openings and then review whether the production rate should be lowered for extra detail work.

Can I use this for an entire house?

Use it room by room or for repeated room types. Whole-house estimates are more accurate when bedrooms, bathrooms, hallways, kitchens, stairwells, and high ceilings are separated instead of averaged together.

Worked room example

Example takeoff for a 14 by 12 room

A 14 by 12 room with 9-foot walls has a perimeter of 52 feet. Multiplying perimeter by wall height gives 468 square feet of gross wall area. If doors and windows account for 70 square feet, net wall area is 398 square feet. The ceiling adds 168 square feet, so the room has 566 square feet of paintable wall and ceiling area before coats.

With two coats, the coated area becomes 1,132 square feet. At 350 square feet per gallon and a 10 percent allowance, the room needs about 4 gallons. At 180 coated square feet per labor hour, painting time starts near 6.3 labor hours before trim, furniture moving, patching, masking, cleanup, or customer walkthrough time.

This type of takeoff is useful because small rooms can look cheap by square footage while still requiring meaningful setup time. Bathrooms, closets, hallways, stairwells, and furnished bedrooms should be reviewed separately so their slower pace does not disappear inside a whole-house average.

Turning this takeoff into a paint order

The "paint needed" figure above answers one question — how much coating this room is likely to need — using the coverage rate, coats, and net area you entered. Three things commonly move that number away from the label coverage rate. Porous drywall, textured surfaces, rough masonry, color changes, and spray loss all reduce real coverage, so treat the label rate as a starting point and adjust it to match the coating system and surface condition you're actually working with. New drywall, stains, patched areas, bare wood, glossy surfaces, and major color changes may need primer before finish coats — estimate primer as its own line rather than letting it hide inside the finish-paint gallon count. And a small waste allowance covers roller loading, cut pots, touch-ups, color matching, and the leftover material every job needs at the end; very small jobs often need a larger percentage because paint is sold by container size, not by the gallon.

Worked material example: a small office has 1,800 square feet of wall area, 600 square feet of ceiling area, and 120 square feet of trim or detail area. With two finish coats, coated finish area is 5,040 square feet. At 350 square feet per gallon, that's 14.4 gallons before waste; a 10 percent waste and touch-up allowance raises the order to about 16 gallons. If 25 percent of the surface needs primer, primer area is 630 square feet before waste — at the same spread rate, that rounds to about 2 gallons of primer. At $42 per gallon, the full paint order is roughly 18 gallons, or about $756 before tax, delivery, sundries, or specialty coatings. That number is deliberately separate from labor: a complete bid still needs labor hours, masking, surface repair, equipment, overhead, profit, and risk on top of it, which is what the labor-side calculators on this site are for.

Most contractors round gallons up to the next practical container size rather than ordering an exact fractional quantity, since touch-ups, roller loading, surface porosity, and small takeoff errors can stop a job mid-coat if material runs short. Two coats is a useful estimating assumption, but it isn't a guarantee of double the paint — the first coat often uses more paint on porous surfaces while the second spreads farther, and major color changes, deep bases, or rough textures can still push material above what a simple doubling predicts.
